Chapter 06: Stock & Inventory Management (सब्जी स्टॉक प्रबंधन)
Vegetables are perishable goods. Knowing how many bags of onions, crates of tomatoes, or sacks of potatoes you currently have in your shop or godown prevents shortages, theft, and unnecessary spoilage.
📦 1. Overview of the Stock Screen#
Click on "Stock (स्टॉक)" in the navigation menu:

What you see on this page:#
- Vegetables List: Every vegetable or fruit in your shop with its emoji (🍅 🥔 🧅 🌶️ 🧄 🥕 🥬 🥦 🍆 🥒).
- Current Available Stock (उपलब्ध स्टॉक): Live quantity in your shop (e.g.
450 kg,25 crates,80 bags). - ⚠️ Low-Stock Alert Badge: If any vegetable drops below your set minimum safety level (e.g. less than 50 kg remaining), an amber/red warning badge appears so you know to order more!
- Default Purchase & Sale Rates: Your standard selling rates for fast reference.
- Action Buttons:
⚙️ Adjust (मिलान):Manually adjust stock after physical counting.🔄 Transfer (ट्रांसफर):Move stock to another branch or stall.✏️ Edit (बदलें):Update item names, emojis, or default rates.
➕ 2. How to Add a New Vegetable Item#

- Click the "+ Add Product (नई सब्जी जोड़ें)" button.
- Fill in the simple form:
- Emoji Icon: Tap the vegetable emoji (e.g. 🍅 for Tomato, 🥭 for Mango).
- Name (English): (e.g. Tomato Hybrid).
- Local Name (हिंदी / क्षेत्रीय): (e.g. टमाटर हाइब्रिड).
- Default Unit (इकाई): Choose
kg,crate (क्रेट),bag (बोरी),bundle (गड्डी), orpiece (पीस). - Default Sale Price (बिक्री भाव): (e.g.
₹30per kg). - Default Purchase Price (खरीद भाव): (e.g.
₹20per kg). - Minimum Safety Stock (न्यूनतम स्टॉक चेतावनी): (e.g.
50kg).
- Click "Save Product". The vegetable is immediately ready for sales and purchases!
⚖️ 3. Physical Stock Audit & Adjustment (दुकान / गोदाम स्टॉक मिलान)#
In vegetable trading, weight naturally decreases over the day due to moisture evaporation (सूखना), scale variations, or minor handling losses.
When you count your physical stock at the end of the day or week and find a slight difference, use the Stock Adjustment tool:

Step-by-step physical count adjustment:#
- Find the vegetable on the stock list and click the "Adjust (मिलान)" button.
- Enter the Actual Physical Quantity you counted on your shop scale (e.g. System shows
120 kg, but your physical scale shows112 kg). - Select the Reason (e.g. Physical Stock Audit / दुकान मिलान or Moisture Loss / वजन सूखना).
- Click "Save Adjustment".
- The system stock will immediately update to your physical count, and an audit log is saved for the owner's records.
🔁 4. Transferring Stock Between Stalls / Branches (शाखा ट्रांसफर)#
If you operate multiple mandi stalls (e.g. Main Godown and Retail Shop #2):

- Click "Transfer (ट्रांसफर)" next to the vegetable.
- Select the Destination Branch (किस दुकान में भेजना है).
- Enter the Quantity to Transfer (e.g.
20 Crates). - Click "Confirm Transfer".
- The stock is automatically deducted from your current shop and added to the destination shop—without any manual paperwork!
📜 5. Stock Movement History (स्टॉक इतिहास)#
Want to know why your potato stock changed from 500 kg to 200 kg?
- At the top of the Stock page, click the "Stock History (स्टॉक इतिहास)" tab.
- You will see a chronological log of every single movement:
- 🟢 Purchases (आवक): Added to stock with purchase bill number.
- 🔴 Sales (बिक्री): Deducted from stock with customer bill number.
- 🗑️ Wastage (खराबी): Deducted due to rotten produce.
- ⚙️ Audits & Transfers: Manual adjustments and branch movements.
❓ Frequently Asked Questions (FAQ)#
Q1: Can I sell a vegetable if its stock shows 0 kg in the app?
Yes. In fast mandi rush hours, the app allows billing even if the inward truck wasn't entered into the app yet. Your stock will temporarily show negative (e.g. -20 kg), and as soon as you enter the morning purchase bill, it will automatically balance out to the correct positive stock.
Q2: How do I change the default selling price of a vegetable when market rates go up?
Click the ✏️ Edit button next to that vegetable, change the Default Sale Price, and click Save. All future new bills will use the updated rate.
Q3: Can I delete a vegetable from the list?
If you no longer trade a seasonal vegetable (e.g. green peas during off-season), you can edit it or leave it with 0 stock. It will not interfere with your other items.
